2. TWO DIFFERENT ROLES

We handle personal information in two distinct capacities, and your rights differ depending on which applies to you.

As a business (controller). When you visit our website, enquire about our services, or become a Valid8 client, we decide how and why your information is used. This policy governs that information.

On behalf of our clients (service provider). When a homeowner submits an enquiry through an advertising campaign we operate for a contractor, that contractor is the business responsible for the information. We process it only on their instructions and only to perform our services. If you are a homeowner and want to exercise rights over your information, contact the contractor you enquired with. We will assist them in responding.


3. INFORMATION WE COLLECT

From prospective and current clients

Name, business name, email address, phone number

Business details including legal entity name, business structure, service area, licensing details, and tax identification numbers where required for carrier or platform registration

Insurance details where provided

Advertising account identifiers, business page details, and platform access credentials or permissions

Campaign parameters, budgets, and performance data

Billing and payment information, processed by our payment provider

Records of our communications with you

From website visitors

IP address, browser type, device information, pages viewed, referring source

4. HOW WE USE INFORMATION

Client information is used to provide and manage the services, set up and operate advertising campaigns, register messaging brands with carriers where required, invoice and collect payment, communicate with you, meet legal and tax obligations, and improve our services.

Website visitor information is used to operate and secure the site, understand how it is used, and measure the effectiveness of our own advertising.

Homeowner lead information is used solely to qualify enquiries, arrange appointments, and deliver follow-up communications on behalf of the contractor. We do not sell or share it, we do not use it for cross-context behavioral advertising for our own benefit, and we do not retain, use, or disclose it outside the direct business relationship with the contractor.

Advertising platforms — Meta Platforms and any other platform agreed with the client

Email delivery — our email sending provider

Telephony and messaging — carriers and messaging providers, including for A2P registration

Payment processing — our payment provider

Professional advisers — accountants and legal advisers where necessary

We may also disclose information where required by law, to enforce our agreements, or in connection with a sale or merger of our business.

Subcontractors with access to consumer data are bound to obligations no less protective than those we accept.


7. COOKIES AND TRACKING

Our website and campaign pages may use cookies and tracking pixels, including the Meta pixel, to measure advertising performance and understand site usage.

8. HOW LONG WE KEEP INFORMATION

Client records — for the duration of the engagement and afterwards as needed for tax, accounting, and legal purposes

Lead consent records — including submission timestamp and IP address, for as long as we perform services for the relevant client, and made available to that client on request

Homeowner lead data — returned or deleted on the client's written request following termination, except where retention is required by law or for our own records of consent, delivery, and billing

Website analytics — retained for a limited period consistent with the purposes described above

Sensitive business identifiers such as tax identification numbers are retained only for as long as needed for the registration or compliance purpose they were collected for.
